General Job Description

The Project Coordinator is responsible for supporting and assisting the Project Manager with administration and management of one of Casey Industrial’s construction projects. The role is often flexible depending on the specific project’s requirements, and the makeup of the project management team and support staff. On larger projects with a big team, the role may be more specific and specialized. On smaller projects, a more general, jack-of-all-trades approach may be necessary.

The Project Coordinator should be evaluating the overall status of the project, searching for those things that have potential to negatively impact the project goals and objectives. Time constraints dictate that there is an effective working relationship with the Project Manager, with clear understanding of how challenges and opportunities are to be handled. Effective performance in this role requires a comprehensive knowledge and understanding of the current project situation, as well as the project scope, purpose, and goals.

The role requires interfacing with all areas affected by the project including the client(s), distributors, vendors, and the ongoing strategic communication with project management regarding the status of the project.


Responsibilities

• Administering Accounting/Job Costs/Work in Progress (WIP) Updates: Assisting the Project Manager with these activities as a qualified person, who will ensure they are performed accurately and on time.

• Subcontract Administration and Management: May be required to secure drawings and specifications to support the process of obtaining bids from qualified subcontractors, selecting a qualified candidate, and negotiating the subcontract. As the work progresses, the Coordinator may be called to act as a liaison between the project team and the contractor.

• Oversee Field Change Order and Request for Information (RFI) Processes: Of particular importance here is the need to keep the work performed within the scope as defined by the contract, or initiate the utilization of a Field Change Order to ensure the additional scope is captured and contractually agreed upon.

• Development and Preparation of Schedule of Values and Invoices: Participate and assist Project Manager with process.

• Assist Project Manager with Process Management: Utilize a good working knowledge of construction law, Casey Policies and Procedures, and have a comprehensive knowledge of the contract for the job at hand, including supporting documents such as estimates, budgets, and engineering design and specifications.

• Scheduling: When there is no designated Scheduler assigned to the project, Coordinator maintains schedule through regular updates, with information obtained from the appropriate members of the team.

• Contract Management: Know the provisions, terms and scope of the contract. Maintain a contract “flow chart” identifying milestone commitments and any documentation requirements.

• Document Control: Ensuring that all engineering drawings, specifications, and other necessary documentation received at the job site are correctly received, dated, filed, and distributed. Making certain that drawings are delivered to the appropriate Craft Superintendent prior to physical placement of work.

• Project Management Support Activities: The Coordinator may be asked to record and transcribe meeting minutes, act as a liaison with client project staff, generate correspondence, represent the Project Manager at meetings with the client, or any other supporting activity

• Subcontract Administration and Management:
o Able to assemble scope
o Understanding and communicating key terms of the subcontract (LDs, Payment, Prime pass through)

o Request formal Subcontract/PO
o Manage final subcontract negotiations
o Receive, review, and approval subcontract schedule of values and construction schedule
o Lead onsite kickoff
o Receive and approve subcontractor invoices and track progress
o Manage required subcontract communications (Notices, delays, scope changes)
o Manage subcontract change requests
o Conduct final contract scope and administrative close out (Punch list, warranty, liens)
o Approve final payment and financial close out in Spectrum
o Complete and return subcontractor evaluation form

• Oversee Field Change Order and Request for Information (RFI) Processes:
o Use and maintain Spectrum RFI log
o Manage client responses

• Contract Management:
o Read and understand the project contract
o Identify key terms and conditions (Notice requirements, payment terms, LDs, Milestone requirements, Change Order Process, etc)
o Separate and disseminate contract scope documents to applicable field leadership
o Manage and communicate with Customer Change Order Requests
o Coordinate review of any revised contract documents for potential change orders (include scope drawings)
o Communicate with customer contract schedule requirements (updates, changes, etc)
o Coordinate contract required submittals (material, RFI, notices)
o Manage schedule of values and billing process
o Manage closeout process (Punch list, contractually required closeout documents)
o Prepare final turnover documents (warranty plan, liens, insurance, construction turnover documents)

• Cashflow
o Maintain cashflow forecast and curve
o Coordinate project Schedule of values with material purchase, labor, and subcontor payments

• Assist Project Manager with Process Management: Utilize a good working knowledge of construction law, Casey Policies and Procedures, and have a comprehensive knowledge of the contract for the job at hand, including supporting documents such as estimates, budgets, and engineering design and specifications.

• Scheduling:
o Able to develop and manage the project schedule in the current standard software (Primavera P6)
o Conduct scheduling best practices in accordance with Casey Policy AD-230

o Run through Spectrum weekly and distributed to front line supervision weekly
o Train crew on understand of rate composition (Base, Sub, Overtime, Crew mix)

o Manage and update monthly

• Project Leadership
o Have ability to step in as a Construction Manager as needed
o Successfully manage a small multidiscipline project $3-5M as lead

• Experience
o Have held role of Project Engineer for 2 years and 3 successful (executed accurately and successfully all requirements of a Project Engineer)
o Hold a Contractor’s License Certificate in at least one state
Qualifications/Skills Required

• Bachelor’s Degree in a related field or work experiences deemed equivalent

• Proven ability to work collaboratively and execute independently, maintain excellent rapport with team members

• Proficient in project scheduling, cost controls, tracking and reporting methodologies

• Knowledge of financial principles to quantify costs and benefits of projects, and to track budgets

• Demonstrated business skills including communication skills, relationship development, and business acumen

• Self-motivated; capable of taking initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines

• Interpersonal and communication skills to coordinate team efforts, provide direction to team members, and communicate project objectives, parameters, status, and outcomes to stakeholders

• Written and verbal communication with ability to serve as a limited spokesperson for Company

• Willing to travel extensively and relocate to a project location for an extended period (typically 6-12 months)

• Ability to adapt and become an influential leader of Casey’s culture and values


Hours
This position is a Full-Time salaried position. The schedule can vary based on the project requirements. Typically 50 hours/week.


Travel
Travel as needed.


Reporting
The Senior Project Engineer typically reports directly to the Project Manager.
