• Excellent communication skills, with the ability to interact effectively with team members and stakeholders at all levels.
Job Summary:
We are seeking a highly organized and detail-oriented Site Administrator to support a project team in Pennsylvania. This contract role provides administrative and coordination support to the Project Manager and on-site team in a fast-paced project environment. The ideal candidate will have strong organizational and communication skills, the ability to manage multiple priorities, and a professional approach to handling confidential information.
Essential Duties and Responsibilities:
• Provide high-level administrative support to the Project Manager and project team.
• Prepare reports, correspondence, and memorandums as requested.
• Manage and maintain schedules, meetings, and appointments.
• Assist with document control, filing, scanning, and maintaining project records.
• Monitor, respond to, and distribute incoming communications.
• Coordinate meetings and take meeting notes when required.
• Assist with onboarding, badging, and site access coordination as needed.
• Prepare expense reports and support basic administrative tracking when requested.
• Handle confidential information with a high level of discretion at all times.
• Conduct basic research and assemble data for reports and project documentation.
• Interface with field staff, project management, and other stakeholders as needed.
Job Requirements:
• Proficient in Microsoft Office (Word, Excel, Outlook) and general office systems.
• Ability to learn and use new software or project systems as required.
• Strong organizational and time management skills with the ability to prioritize multiple tasks.
• Excellent written and verbal communication skills.
• Ability to work effectively under pressure, meet deadlines, and adapt to changing priorities.
• Ability to work independently with minimal supervision.
• Occasional overtime may be required based on project needs.
Education / Experience:
• High School Diploma or equivalent required.
• Associate degree or equivalent from a two-year college or technical school preferred, or a combination of education and experience.
• 3–5+ years of experience in an administrative or site/project support role preferred.
• Construction, industrial, or project-based environment experience is a plus.
