What You Will Do

We are looking for an energetic, customer focused Desktop Publisher / Administrator to join the Manager of Functions Division (MOF) in PADCAP. Will provide a professional office atmosphere and a willingness to provide support where needed. Will develop and produce a wide range of operational, and administrative communication products, such as estimate packages, reports, procedures, and proposals for print or online publication. Additionally this position will be called on periodically to support the administrative staff in support of MOF management staff daily administrative tasks.

This position requires a motivated performer who is capable of acting independently, working with customers to analyze and develop content for work packages, prioritizing multiple simultaneous tasks, and quickly changing focus, and is comfortable with a broadly defined scope of work within our dynamic organization.

Job Duties:

Use independent judgment within standard policies and procedures to manage conflicting priorities, perform complex desktop publishing tasks. Compose, compile and edit communication products, create layout templates and use style sheets to ensure product consistencies, import graphic images and integrates text, ensures products comply with Laboratory publication policies. Supports the team when required performing administrative duties, and assure quality support. Act as a knowledgeable resource to individuals, both internal and external to the Laboratory.

Assume responsibility with minimal supervision, demonstrating initiative, professional attitude, tact, and discretion with confidential/sensitive matters.

Working with customers to produce quality packages, proposals and documents, this may entail performing mechanical and substantive edits, incorporating graphs, tables and worksheets, proofreading, correcting grammar, technical usage, content, and organizational problems, adapting the editing style to meet customer and audience needs.

Minimum Job Requirements:
• Five or more year’s knowledge and training in desktop publishing or technical writing experience plus an equivalent combination of education/experience.
• Basic project management knowledge and experience in coordinating publication projects.
• Demonstrated professional level experience and proven competence in administrative support including solid skills in organizing, prioritizing, and following through to completion on multiple tasks.
• Demonstrated ability to work effectively under pressure of deadlines, interruptions and changing priorities.
• Proficient in the use of a variety of software including Microsoft Office (Word, Excel, PowerPoint), SharePoint, Adobe Acrobat, Publisher, Outlook, and demonstrated ability to quickly learn Lab business systems (Oracle, Concur, etc.).
• Demonstrated attention to detail and accuracy.
• Excellent communication (both verbal and written) and customer service skills, demonstrating the ability to interact effectively with all levels of internal and external personnel.
• Demonstrated experience in technical writing and editing, with the ability to interpret complex information and determine the structure, content, and format of communication products so that it can be understood by the target audience.
• Demonstrated experience assessing incoming documents to determine the editing approach that best meets customer needs and adapting the scope of an edit to meet the needs of the project.
• Demonstrated experience making decisions and researching, analyzing, and resolving problems both independently and as a team member.
• Ability to work with business sensitive information.
• Excellent record of dependability, availability, attendance, and punctuality.

Desired Skills:
Experience in the use of Laboratory business systems. Knowledge of the Laboratory's organizations and administrative policies and procedures. Strong customer service skills. Demonstrated desktop publishing, technical writing and editing skills.
