[Administration Manager] Administrative Assistant

Description:
Provides administrative support to a department or individual. Duties may include word processing, filing, faxing, answering phones, receiving and directing visitors, scheduling, financial record keeping, coordinating meetings and conferences, obtaining supplies and sorting/distributing mail, compiling and assembling information, creating and modifying reports, and composing basic correspondence. May work on special projects Must be able to multi-task and prioritize. Strong organizational skills are essential. Strong communication skills over the phone, via email, and in person are required. Ability to handle routine situations with minimal direction regarding tasks to be performed/ Ability to work under deadline pressure and ability to work independently required. Experience with MS Office required
Daily Activities:
• Set up for Plan of Day meeting
• Run reports (Corrective Action Process, training assignments, Work Week Scheduling, Observations, etc) and send reports and reminders to crew.
• Check schedule for absences or changes in hours.
• Update WorkLoud Schedule.
• Prepare and print online work packages.
• Verify Work Order Revisions
• Prepare, print and file procedures and work plans for scheduled online work *
• Print Clearance Orders
• Print quals.
• Review work schedule for work orders that have been moved or canceled.
• Refile Work Orders that were rescheduled.
• Check online pull list for new Work Order's.
• Check for calibration sheets.
• Printing misc. forms needed for Supervisor's.
• Scan and upload completed work packages to EWP.
• V&V for paperless recorders. Step 2 of 3
• Verifying WO's are SUPR and WOTS
• File new online work packages and re-arrange files to correct days for work that has been moved or canceled.
• Submit Teaching and Learning to website.
• Drop off all completed Work Orders to Package Control Center
Other Activities:
• Update department data tracking spreadsheets and files.
• Expense Reports
• Prepare Mark-up of procedure for PCR submission.
• Prepare, print and file outage work packages.
• Update duty phone info as required / Ensure weekly transfer of duties.
• SSIS termination if needed.
• Update union boards with new information.
• Run work hours for crew in WorkLoud

Qualifications:

Required:
1–2 years of administrative experience, preferably in an industrial or operational environment. Experience supporting supervisors with operational documentation, reporting, and scheduling is highly preferred.

Preferred:

SAP experience
Concur expense reporting experience
Nuclear industry experience
Experience with Workday or UKG for time entry
Experience with operational reporting systems

Pay $25 hour
