Title: Plant Administrative Assistant

Position Type: Direct Hire

Location: South Boston, VA

Reports to: Plant Manager

Status: Non-Exempt

Job Summary: 

The Plant Administrator is a key member of the Halifax County Biomass Team and plays a critical role in providing administrative support to the Plant Manager and facility staff.  Reporting to the Plant Manager, the Plant Administrator plans and oversees all administrative work and office services, supports the corporate office and plant with personnel related matters including payroll, HR, budgeting, and accounting services, regulatory compliance, as well as other projects/assignments.

Essential Duties and Responsibilities:

The Plant Administrator coordinates daily administrative operations of the office including work priorities and assists in resolving problems related to the day-to-day operations of the business.
The Plant Administrator assists in development and coordination of the execution of program policy, procedures, and operations, monitors compliance.
Assists with plant accounting functions, compiles budgetary and accounting reports, and assists in the preparation of monthly invoices.
Processes invoices from Vendors in a timely fashion and coordinates payments with the Owner’s accounting personnel.
Provide administrative assistance and support to the Plant Manager and periodically to other Management team members.
Assist team members with expense reports in accordance with company policy.
Assist with the development and implementation of reporting procedures and oversee.
department record filing and archiving.
Supports Corporate and Site maintaining Monthly & Quarterly Reports as well as scheduling the Monthly and Quarterly O&M Meetings
Maintains NERC reports, training records, procedures, reports, and etc. Routinely communicates with Owner’s NERC Compliance Team to ensure full compliance at all times. 
Coordinates travel arrangements, special projects & functions, and/or related plant events. Performs miscellaneous job-related functions as assigned.

Job Requirements:

Demonstrates knowledge of all facets of office administrative functions.
Ability to gather data and prepare reports using plant software including Microsoft Office.
Knowledge of Owner accounting procedures involving accounts payable and accounts receivable, and ability to prepare routine administrative paperwork.
Knowledge of supplies and/or services ordering and basic inventory control.
Demonstrates good verbal and written communication skills.
Ability to organize and prioritize work, and to foster a cooperative environment with a technical workforce.
Physical Requirements:
Ability to reach, climb, and stoop and lifting (up to 25 pounds).

Education / Experience:

High School diploma or GED required.
Associate degree or equivalent from a two-year college or technical school, or 4+ years related experience and/or training, or a combination of experience and/or education.
Bookkeeping and business administration knowledge or practical experience is highly preferred.
