Provides administrative support for a wide variety of generalized office-related activities. Specific duties may include, but are not necessarily limited to: tracking and conveying messages; generating internal and external correspondence; maintaining electronic and hardcopy files; coordinating calendars, schedules, meeting logistics, and travel arrangements; ordering supplies; and serving as a resource for staff regarding established administrative policies and procedures.
Position typically requires 5 or more years of related experience, or an equivalent combination of education and experience. At this level, additional training, certification, and/or education may be desirable.
Advanced-level experience providing high-level administrative support in a busy office environment requiring complex calendar management, domestic and foreign travel, procurement, meeting scheduling/logistics, visitor processing, accurate data entry and tracking, and time keeping. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.
Organization and Time Management
Extensive experience organizing, prioritizing, managing and following through to completion on multiple assigned tasks in a demanding and fluid work environment. Demonstrated record of dependability, availability, attendance, and punctuality.
Demonstrated knowledge and experience with Webex, Google Docs, Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, and Word) and with Oracle business systems and Concur for domestic and foreign travel. Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations.
Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.
Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy and discretion in dealing with sensitive and confidential information.
Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable.
